How do you schedule make up lessons?
You schedule make ups, evaluation lessons and fill-in lessons (collectively called "special lessons") just like any normal enrollment, except that you specify a lesson date. When you create a special lesson record, ClassSmart adds a tag to the record that identifies it to the system. You can also schedule excused absences, generic absences and unexcused absences and use these records to find openings in classes that might otherwise be full. You can then schedule a special lesson in these classes without overbooking the class for that lesson date. When you schedule a special lesson, a fee that you have previously specified is automatically added to the customer's account. When a special lesson date has passed, ClassSmart can automatically remove the lesson record from the class and move it to the student's history file.

    How does ClassSmart take attendance?
You can take lesson attendance using the attendance sheet report or electronically. The attendance sheet report prints a list of students and a set of boxes and lesson dates. These sheets are typically placed in the front office so that students or parents can place a checkmark in the appropriate box when they arrive for the day's lessons. You can customize the report to include phone numbers and account balances. You can also shade any lesson boxes that happen to fall on a holiday or not print a holiday box at all.

You can also record attendance electronically via the ClassCard add-in module. ClassCard enables a student or parent to scan their membership card or just type their member number into the program. The lessons scheduled for that family for today are then displayed on the screen for check-in. ClassSmart gives you the option of using these attendance records for lesson billing.

How flexible is ClassSmart? Will it work with my billing system?
ClassSmart is very flexible, with a series of options and settings that enable you to determine system behavior. This flexibility extends to all facets of ClassSmart, from class and lesson setup to fee billing methodologies.

You can bill customers by the class or by the lesson, or a combination of both. You can bill customers for classes with a fixed number of lessons (e.g. a definate stop date for the class), using a set of family membership fees, or for open classes that really never end using your own custom lesson packages list. Billing by the class is useful when you want to bill the entire cost of an activity up front - such as a lesson package, a birthday party or a class with a short duration, like a summer camp.

When you bill by the lesson, ClassSmart uses a set of ten lessons fees (ten custom fees per student) to determine the exact amount to add to the customer's account for any billing period that you specify. You can also tell ClassSmart to calculate the number of lessons during the billing period (e.g. bill for registered hours), or use the attendance records created by ClassCard to determine the number of lessons in the billing period. Lesson billing is useful for on-going classes and for classes that are not pre-paid.

Class billing and lesson billing both take into account the holidays/school closings that you have specified, and will ProRate fees based on student entry and exit dates into a class. ClassSmart's class billing and lesson billing capabilities give you unparalleled flexibility in billing and managing your customer accounts.

Does ClassSmart automatically apply fees to customer accounts?
You can tell ClassSmart to automatically apply a registration fee (AutoRegFee) to customer accounts, including the amount of the fee and a maximum family fee. The AutoRegFee can be posted based on the student anniversary date, the family anniversary date, or based upon the first class taken for the calendar year. You can also automatically apply fees and discounts to accounts based upon club membership level, lesson packages and the student lesson fee fields.

If I buy the single version now, can I upgrade to the multi-user or site version later?

Do I have to buy any additional software for the network version?
No, you do not. ClassSmart software is self-contained, so there is no need to purchase a copy of Access or FileMaker or any other host software for each computer running the program.

What is DataMax's policy on upgrade and programs improvements?
DataMax releases a new version of ClassSmart once per year, usually in the 4th quarter. The new features and improved features in each annual upgrade are directly related to the feedback received from our customers during the year. If you purchased ClassSmart less than a year ago from the release date of the new version, then the upgrade will be provided to you for just the cost of shipping and the cost of the CD itself. If a minor release of ClassSmart is needed to eliminate a bug or two in the program, you will pay only for shipping charges and the cost of the CD. In some cases, DataMax will ship a minor release to you for no charge. If your purchase was made more than one year from the current release, you can purchase the upgrade. If there is a new feature that you need immediately and do not wish to wait for the next major release, DataMax will work with your school and bill you either by the job or by the hour. Depending upon the requested feature, your cost could be as low as $75.

ClassSmart is supplied to you with a professionally written and produced user's guide. You also receive a booklet for each add-in module that you purchase.
